Ordine — by Deuteronomy

One entry. Payslip and job cost, from the same line.

Ordine is the job-costing and crew-pay system for the shape of business the big platforms ignore: ten to fifty people, a self-employed supply chain, and jobs that need pricing before they’re taken.

Not a prototype. Ordine has paid a real subcontractor workforce every week since April 2025, seven versions on, running on Google Sheets and Apps Script. What’s new is the app: your own login, crews on their phones, no spreadsheets. Early access is for the app version.

Why the name: Ordine is the middle word of the motto on our seal — Ex Ordine Sapientia, out of order comes wisdom. Put the work in order first; the insight follows. Say it OR-din-ay.

The crew page — one job, one team, one shift, thirty seconds. This is the app version of the day sheet that has run every week since April 2025.

How it works

Why the pay and the cost can never disagree.

Every other system we have seen costs labour one way for the wages and another way for the job, then makes somebody reconcile the two. Ordine doesn’t have a reconciliation step, because there is nothing to reconcile.

Here's one approved line, from one day sheet. Team 1 on J-0142: 42 m of footway at £28.00 a metre — £1,176.00. Ordine reads that one line, twice. Once for pay: split across the gang — £392.00 each, with CIS deducted at each man's rate. And once for cost: the same £1,176.00 lands on the job that earned it — the margin is current the moment it's approved. Because both are read from the same line, pay and cost can never disagree. And if a figure ever looks wrong, you can see which shift, which crew, and which manager put it there. Ordine. One entry, two outcomes.

Day sheet gang submits once, on a phone, end of shift Normalise & price rate card · split across the gang deductions flagged, never guessed Approval an explicit yes, from a named manager Payslip what the crew is paid and when Job cost the same line, landed on the job that earned it Exports Xero · QuickBooks Sage · CSV ONE ENTRY · TWO OUTCOMES

There is no second data entry and no reconciliation step between pay and cost, because both are read from the same approved line. If a job looks wrong, you can see exactly which shift, which crew and which approver put the number there.

Built for more than one department

A civils department with fifty crew logins and a cabling department the same size is one licence and one login screen. Each department is plug-and-play — its own teams, rate table and pay calendar — set up on day one or added the week the new department starts. No per-seat charges, ever.

Approval is narrow on purpose

Only an explicit approval from a named manager pays. Blank, “probably”, and “I’ll check” do not. Unapproved work is shown to you every day as unapproved — it never disappears and it never silently gets paid.

Timing is data, not arithmetic

A payslip going out is not the same as a man being paid. Ordine holds your actual payment calendar — weekly, fortnightly, fifteen days after the period, whatever you do — so “has he been paid?” is always answered from the schedule, never from a guess.

What the crew see, and what the office sees

Managers and supervisors open Ordine to see what needs doing today. Directors open it to see what it adds up to. Both read the same approved day sheets — nothing is re-keyed, nothing is prepared by hand.

End of the shift. Out comes the phone. Pick the job: J-0142, Footway — High Street. Add the work done: 42 m of footway excavation, 18 m of duct laying. Third man today? A labourer, full day. Submit day sheet. Sent. Thirty seconds, start to finish. No signal on site? It's saved on the phone, and sends itself when there's signal. No paper coming back to the office. Nothing typed in twice. By the morning, it's with the manager to approve. Ordine. One entry: payslip and job cost, from the same line.

Modules

Six parts. Buy the ones you need.

Every part below runs today in the current version. The badges say when each one arrives in the app.

01

Price a job

Rate card, crews with a productivity factor, materials with waste, permits & traffic management, plant. Returns ACCEPT, REPRICE or DECLINE — with every line of the breakdown, so you can see why the number is the number. Learns from finished jobs and tells you when a crew’s factor needs correcting.

Day sheets

The gang submits once at the end of the shift, on a phone. Ordine normalises it, prices it, splits it across the crew, flags anything odd, and queues it for approval. No paper, no second typing, no “which version is right”.

03

Approval & audit

Routed by value and type to the right manager. One tap to approve, with a reason required to reject. Every payment carries a trail from submission to release — who entered it, who approved it, when it was paid.

Subcontractor pay & CIS

The register, deduction rates held per subcontractor, duplicate detection on the way in, the payment schedule with paid and scheduled clearly separated, remittances generated. Figures prepared from your records for you to submit — we never act as your agent.

Seer — job cost, forecast, cash flow & budget

Margin by job as it is earned, not after. Estimate against actual, crew variance, forecast at completion — and, new for autumn, a 13-week cash flow fed by your pay runs and invoices, and a budget against actuals. A director dashboard you open yourself. Also available on its own.

Exports & integrations

Ordine keeps the operational ledger — jobs, day sheets, subcontractor lines, approvals, payment runs — and posts summarised journals to your accounting software. Xero first, QuickBooks and Sage to follow, and a formatted CSV for anything else.

Your codes, your prices · 62 seconds · captions in the picture

Every contractor prices work their own way. Their own codes, their own rates, their own deals with each customer. Ordine doesn't hand you a generic list. It runs on yours. Import your codes, or start from a starter list and make it your own: what you charge, and what you pay, per unit. Each line of work — civils, cable, electrical — has its own code list. A crew only sees the codes for the work they do. Each customer has their own price book. What they pay, per code, from the date you agreed it. Prices change? Add a new rate from a date. The old one stays on the record, and sheets already costed keep their figures. Agreed a price backdated? Re-price the approved work. Only the charge moves — pay and pay runs never do. And your synthetics at a glance: your codes × the quantities on approved work, job by job. Ordine. Your codes. Your prices. Your figures.

Plant & assets Live

Every machine and van on one register: owned, financed or hired. Book it on a job or a gang and its daily cost lands on that job; if the customer pays for it, the recharge lands in revenue. Hired kit standing idle shows up on Today. For kit you own: its value and payback, worked out from your own figures, and finance payments in Seer’s cash flow.

A management view of your own figures.

Hired kit has a habit. It sits in the yard, and the hire company still bills for it. Ordine's Plant & assets keeps every item in one register: owned, financed or hired. Each has a daily rate, from a date. Book it on a job, or a gang, and its cost lands on that job, day by day. If the customer pays for it, the recharge lands in the job's revenue too. Kit that's on hire but not on a job shows up on Today, with how many days it's been idle. For the kit you own, it shows what it's worth from your own figures, and when it pays for itself against hiring. Finance payments go straight into Seer's cash flow, as committed cash out. Ordine. Plant & vehicles, costed to the job they're on.

Also on the roadmap

Four more parts, because the same approved line can do more.

From approval

Invoice from approved work

The approved day sheet already carries what the customer is charged. Ordine turns approved work into a draft sales invoice or application for payment on your rules — you check it, it goes. One entry: payslip, job cost, invoice.

From day one

Worker onboarding & document packs

A starter fills in one link. Ordine builds the register row, generates the agreements, emails them for signature, chases every five days, and files the signed copies — the pattern we already run, inside the product.

From the scorecard

Points & bonus scorecard

Points per crew per period, with safety as a gate: no points at all if the gate fails. Feeds a bonus pot you set. Already running in the current system; moves across with the day sheets.

From the fleet

Fleet & equipment documents

Vehicle agreements, licence permissions, calibration and certification dates — issued, returned, tracked, with reminders before anything lapses. The fleet layer that becomes the third industry preset. It will sit on the Plant & assets register, which is live now.

Four ready-made presets: civils, utilities & telecoms; M&E, electrical & plumbing; logistics, haulage & fleet; agencies & project-based services. Industries →

Try the pricing module

Same job. Three crews. Three different answers.

They price the job. Ordine prices the crew.

Priced on who does it

Every job-management tool we have looked at prices a job. None of them model that team B reliably takes a quarter longer than team A. Ordine does — and it shows you, before you say yes, that the same price is worth taking with one crew and not with another.

Costs labour the way you buy it

Generic platforms cost labour as scheduled hours times an employed rate. If your biggest cost line is fifty self-employed people whose invoices need checking, deducting and allocating, that is a different data model — not a missing feature.

Comes with the person who runs it

Software fails in small firms because nobody has time to drive it. Ordine is available on its own, or with us running your books and your subcontractor payment run through it every month — so it never becomes an expensive job diary.

This is a simplified version with illustrative rates. The real module runs on your rate card, your crews’ measured productivity and your actual permit costs.

How it compares
QuestionTypical job-management platformOrdine
How is labour costed?Scheduled hours × employed rateWhat the crew is actually paid for that shift, from the approved day sheet
Where does CIS live? Not in the product — you run a second systemOn the subcontractor record; deduction shown on every line and every remittance
Can I see margin by crew?RarelyYes — and the pricing tool uses it before you quote
Do the payslip and the job cost agree?Only after someone reconciles themAlways — they are the same line
Who owns the records?Varies; export often limitedYou. Full export any time, and your accounting software stays the statutory book
Who shouldn’t buy it: if you’re an M&E contractor with employed engineers on service contracts and no subcontract base, a mainstream service-management platform is built for exactly you and you should take it. Ordine earns its place when your biggest cost is people you don’t employ.

Pricing

Licensed monthly. Set up properly first.

Ordine — the app

£150 / month per business · early-access price

Set-up from £1,200: your rate card and crews loaded, your subcontractor register imported, your first pay period run in parallel with your current process before anything switches over.

  • All six modules as they ship; you choose which are switched on
  • Unlimited crew and subcontractor logins, any number of departments — we don’t charge per seat, because a fifty-subbie firm couldn’t use it if we did
  • Updates, support within two working days, and the export button always live

Ordine — run for you

From £600 / month

Everything in the software tier, plus we operate it: bookkeeping to trial balance, reconciliation, your subcontractor payment run prepared and checked each period, a monthly review call.

  • The Operate and Embedded tiers from what we do
  • Your figures prepared for you to submit; we never file for you
  • Capped at a handful of businesses at a time, on purpose

Early access to the app, five places. A discounted set-up fee and the £150 monthly price fixed for twelve months (the list price will be higher), in exchange for two things: honest feedback every fortnight, and your agreement that we can use your data — anonymised, never identifying your business or your people — to make Ordine better for everyone on it. All fees are fixed and agreed in writing before anything starts.
